The Admin Support Staff is responsible for providing support to the Home Visitation Programs in Mohave, La Paz and Coconino Counties.
The Admin Support Staff will assist the Program Regional Director in any administrative needs.
Responsible for general program purchasing and management of materials and supplies.
This position reports directly to the Program Regional Director.
SUMARY OF ESSENTIAL JOB FUNCTIONS:
Provides ongoing administrative support to the Regional Program Director, Program Supervisors and program staff.
Maintain and protect the confidentiality of the data and upholds any proprietary rights associated with hardware/software Maintain data files accurately, and with confidentially.
Participate in PQI activities as determined by the Program Director.
Process and submit billing, EOM, receipts and other fiscal needs.
Assist Program Director and program staff with organizing and maintaining program data.
Assist in report generation and preparation.
Schedules and coordinates meetings and events including notification of attendees, preparing and distributing agendas, scheduling meeting space, meeting room set-up and ordering food and supplies.
Answers the telephone and communicates program information to the public.
Coordinates travel arrangements for VP, Sr.
Director, Directors and all program staff.
Purchases and manages program supplies and equipment.
Maintains inventory of Program Equipment such tablets, and laptops, as well as Program IT Equipment.
Files and retrieves documents and historical reference materials.
Creates and maintains program documents, lists, forms, calendars and schedules.
Takes minutes at staff meetings and other collaboration meetings.
Interacts with external clients as well as internal staff at all levels.
Attends All Staff meetings and other meetings upon request; Performs other related duties as assigned.
REQUIREMENTS:
Strong written and verbal communication skills.
Exercises discretion in acquiring and disseminating confidential and proprietary information.
Strong interpersonal skills including ability to effectively work with the public, clients and staff.
Ability to establish and maintain accurate records.
Proficiency in Microsoft Office applications including Word, Excel, PowerPoint and Outlook, as well as working knowledge of database management systems and virtual platforms.
Excellent organization skills, attention to detail and ability to multitask.
Must be able to be certified in CPR/First Aid.
Valid Arizona driver's license with clean driving record, insurance, and vehicle required.
Adheres to agency policies and procedures.
Meets department performance/productivity standards.
Ability to obtain a level one fingerprint clearance card.
Bilingual is desired.

ABILITY REQUIREMENTS:
Sitting for extended periods of time daily; standing and walking short distances.
Moderate twisting, bending, stooping and lifting up to 40 pounds in the performance of assigned duties.
Normal manual dexterity and eye-hand coordination required.
Repeated hand-wrist movement required.
Ability to use a variety of office equipment and machines as referenced.
